Set Building Parent Volunteer Duties

This is an assistant to the set builder and the set builder should be the source for questions and concerns when building the set.

  1. Reading and Interpreting Set Designs

    • Review set design plans, blueprints, and models provided by the set designer or production manager.

    • Understand the overall vision and requirements for the set, including dimensions, materials, and special features.

  2. Gathering Materials and Tools

    • Assist in sourcing and collecting materials needed for set construction, such as lumber, paint, hardware, and props.

    • Ensure all necessary tools and equipment are available and in good working condition.

  3. Constructing Set Pieces

    • Measure, cut, and assemble wood, metal, and other materials to build set pieces according to design specifications.

    • Use tools such as saws, drills, hammers, and screwdrivers safely and efficiently.

    • Build large structures like walls, platforms, and staircases, as well as smaller, detailed elements like furniture and props.

  4. Painting and Finishing

    • Paint set pieces to match the design scheme, using techniques like base coats, texturing, and detailing.

    • Apply finishes, such as varnish or sealant, to protect and enhance the appearance of the set.

  5. Installing Set Pieces on Stage

    • Transport completed set pieces to the stage and assemble them according to the design plan.

    • Ensure all pieces are securely fastened and stable to prevent accidents during performances.

    • Work with the technical crew to integrate lighting, sound, and special effects elements into the set.

  6. Safety Compliance

    • Follow safety protocols to prevent accidents and injuries during set construction.

    • Wear appropriate protective gear, such as gloves, goggles, and masks, when necessary.

    • Ensure all set pieces are built and installed to be safe for actors and crew members.

  7. Problem-Solving and Adaptation

    • Address any issues or challenges that arise during the construction process, such as design changes or material shortages.

    • Adapt plans and find creative solutions to ensure the set meets the production’s needs and vision.

  8. Collaboration and Communication

    • Work closely with the set designer, director, and other parent volunteers to ensure cohesive and efficient set construction.

    • Communicate progress, challenges, and updates regularly to keep the team informed.

  9. Maintaining Tools and Work Area

    • Keep the workspace organized and clean to ensure a safe and efficient working environment.

    • Maintain and store tools properly, ensuring they are in good condition for future use.

  10. Assisting with Strike (Set Breakdown)

    • Help disassemble the set after the production ends, carefully preserving reusable materials and props.

    • Store set pieces and materials properly for future use or disposal.

Additional Tips

  • Punctuality: Be reliable and punctual, as set building often follows a tight schedule to meet production deadlines.

  • Attention to Detail: Pay close attention to detail to ensure the set looks professional and matches the designer’s vision.

  • Teamwork: Collaborate effectively with other volunteers and crew members to achieve the best results.

  • Learning and Skill Development: Be open to learning new skills and techniques related to set construction.

By fulfilling these duties, the set building parent volunteer plays a crucial role in bringing the production’s visual elements to life, creating a dynamic and immersive environment for the performance.

The Encore Way

Thank you for your willingness to help our organization. We can’t do what we do without the volunteers who generously give their time — it takes a village to put on the productions we do, and Encore runs because of you.

Every volunteer, staff member, and collaborator at Encore is asked to live by the Ten Commandments — the cultural principles that guide how we treat young artists, each other, and the families we serve. Please read them before your first shift and keep them in mind as you work.
