Culture & Community Coordinator
Position Overview
The Culture & Community Coordinator cultivates, protects, and enhances the positive, inclusive, and uplifting culture of Encore Performing Arts. The role focuses on intentionally creating meaningful experiences for staff, artists, families, and patrons — ensuring people feel seen, valued, and connected throughout their time at Encore.
Reports to: Production Manager Collaborates closely with: Director, Stage Manager, Volunteer Coordinator, Event Coordinator
Key Responsibilities
Culture Building and Experience Design
- Proactively develop and implement initiatives that foster a positive, welcoming, mission-driven environment.
- Identify opportunities to create meaningful, memorable experiences for cast members, staff, and families.
- Support Encore leadership in maintaining a strong, values-centered culture across all programs.
Recognition and Celebrations
- Track and celebrate birthdays, milestones, and achievements of staff and participants.
- Identify and highlight “magical moments” that occur during rehearsals, performances, and events.
- Coordinate recognition efforts that reinforce appreciation and belonging.
Care and Support
- Respond with care and coordination during sensitive moments (illness, loss, family hardship).
- Help organize appropriate gestures of support (cards, messages, meals).
- Serve as a thoughtful connector so individuals feel supported during difficult times.
Production Keepsakes and Closing Traditions
- Lead the creation of small posters and materials for cast photo books or closing-night gifts.
- Coordinate collection of photos, messages, and memories from each production.
- Help execute meaningful closing-night traditions that celebrate the experience.
Community Engagement
- Build positive relationships with families, patrons, and participants.
- Support efforts that strengthen connection and communication within the Encore community.
- Help create a welcoming, inclusive environment at events and performances.
Qualifications
Essential
- Strong interpersonal and relational skills.
- High emotional intelligence and empathy.
- Excellent organization and follow-through.
- Ability to handle sensitive situations with discretion and care.
- Creative thinker with a passion for building meaningful experiences.
Preferred
- Experience in event planning, team culture, or community engagement.
- Familiarity with Encore’s culture and traditions.

Working Conditions
- Commitment: Consistent engagement throughout productions, camps, and events.
- Schedule: Available for key moments such as opening/closing nights and special events.

- Reports to: Production Manager.
- Compensation: Per Encore’s contractor structure.

Initial Production Work
- Confirm show, dates, and key milestones with the Production Manager.
- Begin planning culture moments aligned with the production calendar.

Pre-Production
- Coordinate with the Director and Production Manager on the kinds of culture moments that will fit this show.
- Plan opening-rehearsal welcome touches.

Casting
- Help shape the first-rehearsal welcome experience for the new cast.
- Begin tracking birthdays, milestones, and personal details as cast information becomes available.

Rehearsals
- Attend selected rehearsals to spot magical moments and capture them.
- Coordinate small recognitions for milestones (first day off-book, halfway-through-rehearsals, etc.).
- Support the Director and Stage Manager in maintaining positive room culture.

Pre-Tech
- Plan opening-night gifts, cards, or rituals.
- Coordinate any special-occasion touches for the transition into the venue.

Technical Rehearsals
- Be present for moments where the team needs extra support during long tech days.
- Coordinate food, snacks, or small touches that lift morale.

Performance
- Coordinate opening-night and closing-night traditions.
- Capture moments from the run for the cast photo book.
- Be present in the lobby and backstage for key performances.

Post-Production
- Coordinate closing-night gifts, photo books, and farewell rituals.
- Document the production’s “magical moments” for future reference.
- Reflect on what culture moments landed and what to adjust next time.
