Production Historian
Position Overview
The Production Historian is a parent volunteer role responsible for capturing and preserving the memories of the production. Through photography, video, and archival organization, the Production Historian creates a lasting record of rehearsals, performances, and behind-the-scenes moments for Encore’s community. All media captured in this role is shared with the production team for distribution and archive — never published independently.
Reports to: Production Manager Collaborates closely with: Stage Manager, Marketing/Social Media lead
Key Responsibilities
Photography & Videography
- Take high-quality photographs of rehearsals, performances, and behind-the-scenes moments.
- Record video clips of significant events, rehearsals, and shows, capturing both key scenes and candid moments.
Organizing Media
- Catalog and organize all photos and videos taken throughout the production.
- Create clearly labeled folders for easy access and retrieval, and share the organized media with the Production Manager.
Creating an Archive
- Compile photos, programs, and other memorabilia into a physical scrapbook or digital archive and share with the Production Manager.
Social Media & Publicity
- Share all content with the designated Marketing/Social Media contact for use on social media and public platforms.
- Never share photos or videos on your personal social media accounts.
- Communicate with the Marketing/Social Media lead when media is ready for publication.
Coordinating with Other Volunteers
- Work closely with other parent volunteers — costumes, props, refreshments — to document their contributions.
- Ensure a comprehensive record of all who participate in the production.
Distributing Memories
- Ensure the Production Manager and Stage Manager have digital access to all photos and videos for distribution to the appropriate people.
Event Documentation
- Document special events related to the production, including cast parties, fundraising events, and community outreach activities.
- Capture both candid and posed shots that reflect the spirit and camaraderie of the cast and crew.
Additional Guidelines
- Permission & Privacy: Always confirm with the Stage Manager or Production Manager that all cast members have completed the media release portion of their contract before sharing any photos or video publicly. Parents give permission when signing the Encore contract — but verify before publishing.
- Backup Copies: Maintain backup copies of all media files to prevent loss due to technical issues.
- Creativity: Use varied formats and styles to make the archive engaging and memorable.
- Timeliness: Stay on top of documentation throughout the production to avoid a backlog. Regularly update the archive and submit content to the social media lead.
Working Conditions
- Presence required at designated rehearsals, performances, and special events.
- Volunteer role — time commitment varies by production phase, increasing during tech and run.
- Must follow all Encore policies regarding media, privacy, and conduct while working with young performers.
Success Measures
- A complete, well-organized archive of media delivered to the Production Manager by the end of the run.
- Social media content submitted in a timely manner throughout the production.
- All privacy and permission guidelines followed without exception.
- Positive documentation of the production that reflects Encore’s culture and community.
